Activity Planning

Many organisations are daunted by the prospect of preparing an Activity Plan for their Heritage Lottery Fund project. Since 2010 we have built up extensive experience of producing successful HLF Activity Plans for a wide range of organisations from museums, to historic boats, heritage sites and archives. We ensure the plans are compliant with HLF guidelines and sector good practice as well as practically useful for your own service planning and delivery.

We can help you understand HLF requirements and guide you through the process and different stages. We offer ideas, expertise and the ability to plan effectively to make your Activity Plan work for you and your audiences. We often combine this with help with interpretation, learning [link to interpretation and learning category] and volunteering.

We enjoy working as part of wider professional teams, ensuring that the needs of your Activity Plan and audiences are properly reflected in spatial, design and capital plans as well as business plans.

We are regularly commissioned by HLF to mentor organisations [link to HLF expert advice, mentor, monitoring under HLF category] through their Activity Planning, giving us an up-to-date insight into the funder’s expectations, and the lessons that can usefully be learnt from comparator projects.

Quarr Abbey

Activity Plan and project delivery support for Quarr Abbey

quarrClient: Quarr Abbey

  • Quarr Abbey is a grade I listed complex of monastic buildings in the centre of a small rural estate on the Isle of Wight including a scheduled ancient monument and various designated habitats
  • It is home to a Catholic Community of monks seeking God in the Benedictine tradition and belonging to the Solesmes congregation of monasteries
  • The Community’s way of life stretches back over 1500 years and it was their aspiration that any development plans had to preserve and strengthen this whilst giving an insight into their lives and the Abbey

Project: The Two Abbeys project

  • Major £2.2m capital project to restore the Abbey church and medieval ruins, create a new visitor centre in the stable block and provide better access, interpretation, orientation and signage across the site
  • New permanent exhibition, film and interpretation resources including a family activity ‘Explorer’ pack and woodland walk trail
  • Volunteer archive project to catalogue and digitise the Dom Bellot architectural drawings for the Quarr Abbey
  • Development of volunteers for work on the estate
  • Marketing and promotional events with local community and stakeholders
  • 4 seasons of archaeological fieldwork at the medieval ruins in partnership with local community archaeology group and Southampton Archaeology Unit

How we helped

  • We provided full support for the development and production of the Activity Plan with detailed costs and delivery plans
  • We guided the Community through HLF requirements and options
  • We undertook visitor research through face-to-face interviews and questionnaires and consulted with local partners and stakeholders
  • We developed interpretation plans based on the information and understanding the Community wanted visitors to have of their way of life and Quarr Abbey
  • Following a successful HLF Round 2 award, we were re-appointed to help advise on and deliver the Activity Plan including selection and management of exhibition designers and implementation of volunteer projects, budgets monitoring, archaeological fieldwork planning, marketing, launch events and evaluation
